MemoJog Privacy Policy

MemoJog ("we", "us", "the Service") is a WhatsApp-based reminder assistant. This policy explains what we collect through WhatsApp, why, and what your options are. It's written to match what the code actually does, not generic boilerplate — if we change how the product works, this document needs to change with it.

1. What we collect

From using the Service directly:

• Your WhatsApp phone number — used as your account identifier.
• Message content — the text (or a transcription/description of voice notes and photos, see below) of messages you send us, stored so we can create, edit, and remind you about your reminders.
• Reminder details — titles, dates/times, recurrence, notes you add, and which of your reminders were created by someone else (see Section 4).
• Timezone — guessed initially from your phone number's country code, and updated only if you tell us a city or share your WhatsApp location. If you share a location, we use the coordinates once to look up a timezone name and then discard them — we don't store your raw coordinates or location history.
• Voice notes and photos, if you send them — sent to a third-party AI service to be transcribed or described into text (see Section 3), then handled the same as a typed message. We don't keep the original audio/image file after processing.
• Basic usage metadata — a rolling message count used only to prevent abuse (rate limiting), not stored long-term or used for profiling.

From other people, if you use delegated reminders:

If you ask us to remind someone else, we also process their phone number and the reminder content you gave us for them — see Section 4, this is handled differently from your own data.

We do not collect payment information (MemoJog does not currently charge for anything), device identifiers, or precise location history.

2. How we use it

Solely to run the Service: understanding your messages, storing and scheduling reminders, sending you the nudge at the right time, and letting you list/edit/cancel what you've set up. We do not sell your data, and we do not use your message content for advertising.

3. Third parties we share data with

We use a small number of specialized services to make MemoJog work. Each only receives what it needs to do its specific job:

These providers process data under their own privacy policies and may store data outside your country of residence. We don't share your data with anyone else, and never for marketing purposes.

4. Delegated reminders and third-party data

MemoJog lets you set a reminder for someone else. This means we may store another person's phone number and a reminder's content before they have ever messaged us themselves. Specifically:

• If the person has already messaged MemoJog, the reminder is added directly to their account, and we tell them (in the reminder itself) that you set it for them.
• If they haven't, we hold the reminder and send them a one-time invitation message inviting them to MemoJog. If they never reply, we do not message them again, and the pending reminder is never created or delivered.
• We also store any contacts you explicitly save (a name + phone number), so you can refer to that person by name later — visible only to you.

If you're contacted by MemoJog because someone set a reminder for you, and you don't want that, simply don't reply — no account or data is created until you do.

5. Data retention

We keep your reminders for as long as your account is active. Once a reminder is cancelled, we permanently delete it within 60 days. Reminders that have already fired (and were one-off, not recurring) are kept as your history until you cancel or the account is deleted.

The raw text of messages you send us is kept separately for up to 7 days, purely so we can investigate a reported bug against the exact wording that caused it, then it's automatically and permanently deleted. This is separate from the reminder itself, which is created from that message and kept under the retention rules above regardless of the original message's deletion.

6. Your rights

You can, at any time, by messaging the bot:

• See what's stored — ask it to list your upcoming reminders.
• Delete a reminder — ask it to cancel one.
• Correct your timezone — tell it a city or share your location.

To request a full export or deletion of your account data, contact us at the email above. We'll respond within 30 days.

7. Legal basis for processing (UK/EU users)

For your own data: contract — we process it because it's necessary to provide the reminder service you asked for by messaging the bot. No separate consent step is needed beyond that request.

For a delegated reminder's recipient, before they've replied to us at all: legitimate interest — sending the one invitation message on your behalf is a narrow, low-intrusion action tied to a specific request from someone who (by using the feature) told us they know this person. We don't message them again if they don't reply, and no reminder or account is created for them until they do.

8. Security

Data is stored in a password-protected database and is not publicly accessible. As with any service, no method of storage or transmission is 100% secure, and we can't guarantee absolute security.

9. Age requirement

MemoJog is not directed at children. You must meet WhatsApp's own minimum age requirement (currently 13, or higher where local law requires) to use this Service.

10. Changes to this policy

We'll update this document as the product changes, and post the new effective date at the top. For material changes — anything that changes what we collect or who we share it with — we'll also send a one-time WhatsApp message to active users pointing at the update.
